What is a work order?

Work orders are how Facilities prioritizes, delegates, and manages all maintenance-related tasks on campus. When you submit a request, it provides our team with the information they need to complete maintenance assignments efficiently and successfully.

Capital & Campus Projects

Our Capital Projects Manager manages and coordinates various improvements and new projects across all campuses. They provide guidance by initiating, planning, executing, monitoring, and closing major building upgrades and new construction to our buildings. Our Capital Projects Manager works successfully to secure funding through government grants while working to meet quality standards, predetermined metrics, and the approval of the campus community. 

How We Serve SPSCC

Our General Maintenance team consists of skilled craftspeople who oversee the day-to-day maintenance, repair, and renovations across all campuses.

  • Performs inner and outer building repairs and updates that include repairs to walls, flooring, windows, roofs, fixtures, and hardware
  • Paint, plaster, and drywall repairs 
  • Parking lot and sidewalk maintenance
  • Collaborates with management regarding renovations and facility expansions

Our skilled Electricians maintain, modify, and improve all campus electrical and lighting systems in addition to the following responsibilities.

  • Installs new lights and wall receptacles
  • Replaces burned-out lamps in permanent lighting fixtures
  • Resets tripped circuit breakers
  • Responds to power outages
  • Troubleshoots electrical problems

Our HVAC team consists of experienced craftspeople who oversee the daily maintenance of the campus buildings' HVAC systems and maintain the air temperature and quality within all building interiors.

  • The shop is responsible for energy management programs related to the use of major equipment, makes major and minor repairs to both indoor and outdoor facilities equipment, and performs preventive maintenance
  • Serviced locations include: Olympia Campus, Lacey Campus, and the Angela Bowen Center

The Plumbing team maintains and repairs the campus water system in addition to the following responsibilities.

  • Main water line and reclaimed water system lines and valves
  • Maintain backflow prevention equipment
  • Rough-in plumbing work, fixture-setting and trim, flush valve and traps repair, and gas line repairs
  • Maintains all campus toilets, urinals, faucets, and water fountains
  • Installs water circulation pumps and trap primers
  • Serviced locations include: Olympia Campus, Lacey Campus, and the Angela Bowen Center

Our Grounds & Landscaping team consists of dedicated personnel ranging from garden specialists, grounds workers, irrigation specialists, and heavy equipment operators.

  • Our Grounds & Landscaping teams maintain over 125 acres of landscaped grounds, gardens, and sports fields
  • Grounds & Landscaping teams work year-round to maintain a clean, safe, and attractive landscape by providing tree and shrub trimming along with continual planting of annual colors
  • Daily trash cleanup
  • Mowing and lawn maintenance along with weed abatement
  • Serviced locations include: Olympia Campus, Lacey Campus, and the Angela Bowen Center

Our Custodial Services team consists of roughly 18 to 25 custodians ranging from custodial supervisors, custodial maintenance professionals, and custodial technicians. 

  • Custodial cleaning frequencies are divided into two normal daily services that consist of a morning shift and a swing shift
  • Our custodians work 5 days a week to provide specific and general campus needs such as mopping, dusting, vacuuming, removal of trash, recycling, and sanitation service
  • The cleaning of offices, classrooms, building lobbies, and hall areas is scheduled daily
  • Stocks supplies, and refills sanitizers and soap as needed
  • Assists with the setup and takedown of seating and tables for campus events
  • Serviced locations include: Olympia Campus, Lacey Campus, and the Angela Bowen Center

The Energy & Sustainability Program is responsible for the support of energy and building operations at SPSCC.

  • Tracks regulatory compliance associated with greenhouse gas reduction, the Clean Buildings Act, carbon reduction, energy and utility conservation, and associated reporting
  • Oversight of energy consumption, and meter data management for all buildings
  • Coordinates and interfaces with regulatory agencies such as the Department of Ecology, the Department of Commerce, and the State Board for Community and Technical Colleges

Common Service Requests

  • Event Planning and reservations are coordinated through SPSCC’s Campus Venues Department. Included are audio and visual.
  • All events are confirmed through the Director and/or the Events Manager.
  • Facilities assists with custodial support and the installation and dismantling of chairs, tables, and podiums only when requested.

To reserve a space for your event, please submit a request form.

  • All move requests are to be initiated via a Work Order request.
  • Details such as pictures, maps, measurements, or photos are welcomed especially when specialized program equipment or specific buildings are involved. 
  • Upon receipt of a work request, Facilities will work closely to coordinate the move with the requestor and management. Moves can often include multiple departments such as IT Services or Campus Safety which will require additional work orders.
  • Moving services consist of furniture and fixture installs, relocation, and removals. Individual items such as books, lamps, general office supplies, and personal belongings will need to be removed from bookshelves, cabinets, and desk areas by the requestor. Once boxed, Facilities will relocate boxes to the new designated location.
  • Staff and faculty are responsible for moving all personal items.
  • When purchasing new furniture for a space, please consult your department Dean or Director for budget approvals. Requests can be made through our Furniture Purchasing process. Currently, inventory on campus is extremely sparse.

  • Our Facilities Team is here to assist with the installation, relocation, and removal of building and office signage.
  • SPSCC has required sign standards that are approved by Facilities through a work order request.
  • Facilities works with a designated sign vendor for all campus signage needs. 
  • To request directional interior or exterior signs, please submit a work order.
  • Funding for signage may be supplemented by department budgets. 
  • Please utilize our current 2025 Standard Name Plate Template when people move throughout office spaces.

Our Facilities team is here to assist in upgrading and remodeling your office and/or departmental areas. SPSCC has campus standards when it comes to desks, chairs, paint colors, and more. We will work directly with your department contact and a state-contracted vendor to complete your request.

  1. Planning: Furniture has a typical turnaround time of 8 to 10 weeks once the Purchase Order has been issued and received by the vendor. Please keep this in mind and allow extra time in your planning. 
    1. Please designate a main contact person from your department who will be responsible for the coordination of the furniture request, purchase, and any installation updates.
  2. Submit a Work Order: Submit a Work Order and include all pertinent details for your furniture request.
    1. For large-scale projects, our team will coordinate a walkthrough with your department contact and our vendor’s representative to discuss purchasing details, layout, standards, and timelines.
    2. For smaller requests that include items like a desk or chair, typically this can be handled via email. 
  3. Approvals: Dean and/or Director approval as well as chartstring information is required. Once we have those, as well as an approved quote from our vendor, Facilities will submit a requisition and communicate the details with your department.
  4. Delivery & Installation: Typically, our vendor will reach out to confirm a delivery and installation date a couple of weeks prior to the installation. If your department is replacing existing furniture, please do the following:
    1. Facilities will need to remove existing furniture, at least a day prior to new furniture being installed. Facilities will coordinate.
    2. All personal belongings and file items will need to be removed (2 days prior to delivery, at minimum).
    3. Leave any technology (monitors, desk scanners, speakers, phones, etc). We will need to get a list of what is existing and what needs to be reinstalled upon installation. Facilities will coordinate with IT and submit the ticket (1 to 2 days prior to delivery at minimum).
    4. Facilities will accompany the furniture vendor onsite to facilitate the installation and answer any questions.
    5. IT will follow up with the reinstallation of any technology that is required (day of or day after delivery at minimum).
  5. Miscellaneous
    1. Capital Project furniture orders will be part of a Capital Project and will be coordinated by the Capital Projects Manager. This is a separate process and details will be communicated within the project.
    2. Painting, lighting improvements, and flooring upgrades will be scheduled as facilities workloads permit. We will make every effort to coordinate these requests with the installation of new furniture, but at times this may be subject to personnel availability.
    3. There are many variables to furniture purchases and installs. This page gives a general outline but the logistics are determined by the requesting department, the furniture contractor, Facilities, and IT. Some considerations consist of availability, scheduling needs, funding, and construction timelines.

Custodial

  • Day Shift: 7 a.m. to 3:30 p.m.
  • Evening Shift: 3 p.m. to 11 p.m., Monday - Thursday; 1 p.m. to 9:30 p.m., Friday

Office trash is emptied once weekly. Trash receptacles in classrooms, break rooms, and kitchenettes will be emptied daily.

Under-desk recycling bins are emptied by employees. You can empty them into large recycling bins located in hallways for your use. If you have materials such as books or are doing a major cleanout, please contact us for additional bins and assistance. The Facilities team will empty the large recycling bins.

  • Campus trash removal is scheduled to support the needs of each building. 
  • Recycling services in custodial operations are designed to integrate and improve general recycling requirements across campus.
  • Large, bulk waste that is recyclable (cardboard boxes, paper, etc.) has designated pick-up locations on campus. 
  • If you are arranging to have a large trash or recycling event such as spring cleaning, or you have additional trash removal needs, please notify our Custodial Team by submitting a work order.
