The Facilities Department is here to support your department with office upgrades, remodels, and furniture needs. There are two types of furniture requests:
- New Furniture Purchases – Ordering brand-new items through our vendor.
- Existing Furniture Requests – Repurposing items from our on-campus furniture inventory.
Each process is outlined below.
New Furniture Purchase Process
This process applies to the purchase of brand-new furniture. Facilities works closely with your department, IT, and our vendor (WorkPointe) to ensure smooth planning, delivery, and installation. The process may vary depending on the size and scope of the order. Smaller purchases may be installed directly by Facilities Maintenance, which can shorten timelines.
Step 1: Submit Work Order
- Submit a request through the Facilities Work Order system under “New Furniture Purchase Request.”
- Designate a department contact to coordinate approvals, updates, and logistics.
Step 2: Initial Meeting
- Facilities meets with your department to review needs.
- Additional trades (IT, Electrical, Facilities) are identified as needed.
Step 3: Vendor Quote
- WorkPointe provides a furniture quote, typically within 7–10 business days.
Step 4: Approvals
- The quote is sent to the department head for approval and chartstring details.
- Facilities submits a requisition and confirms the purchase with WorkPointe.
Step 5: Scheduling & Logistics
- WorkPointe proposes an installation date (generally 6–8 weeks out).
- Facilities coordinates with the department, IT, and vendor to finalize scheduling.
- A calendar invite with confirmed logistics is sent to all parties.
Step 6: Pre-Installation Preparation
Departments are responsible for:
- Clearing personal belongings and files at least 2 days prior.
- Leaving technology (monitors, scanners, phones, etc.) in place.
Facilities will remove old furniture, coordinate with IT, and prepare the space.
Step 7: Installation Day
- Facilities oversees installation alongside WorkPointe.
- IT reinstalls the required technology on the same day or the following day.
Step 8: Post-Installation
- A walkthrough is completed with the department contact.
- Any punch list items are documented and scheduled.
Step 9: Closeout
- Facilities processes the invoice for payment.
Existing Furniture Request Process
Facilities maintains a limited inventory of furniture for reuse. This process helps reduce costs and minimize waste. Inventory is updated regularly, so availability is subject to change.
Step 1: Submit Work Order
- Submit a request through the Facilities Work Order system under “Existing Furniture Relocation Request.”
- Designate a department contact to manage approvals, updates, and logistics.
Step 2: Initial Meeting
- Facilities meets with the department to review needs and, if needed, take measurements.
- Moving boxes may be requested at this time.
Step 3: Installation Coordination
Departments are responsible for:
- Clearing personal belongings, files, and locking cabinets at least 2 days prior.
- Boxing and tagging personal belongings for relocation.
- Leaving technology (monitors, scanners, phones, etc.) in place.
Facilities will:
- Schedule and confirm relocation with the department contact.
- Coordinate with IT for any technical needs.
- Remove old furniture.
- Prepare the space for installation
Step 4: Closeout
Facilities closes the work order once the installation is complete.
Additional Notes
- Capital Projects: Furniture orders tied to a Capital Project will be coordinated separately by the Capital Projects Manager.
- Other Upgrades: Painting, lighting, and flooring improvements may be scheduled depending on workload and staff availability. Efforts will be made to coordinate these upgrades with furniture installation.
- Variables: Furniture purchases and installations depend on several factors, including vendor availability, department scheduling needs, funding, and construction timelines.
